at the Cathedral on April 15,2004; in attendance:

The purpose of the meeting
was to go over the schedule and suggested items as received from the Grand
Lodge. There were no significant
exceptions to the Grand Lodge plan. Additional
requirements and issues were discussed and the results of those discussions
follow.

Setup for the Blue Lodge Degrees

John Sutherland and Q Willman will provide all paraphernalia, aprons, etc. that
is needed from the
The Valley will provide
electric power to the center of the auditorium for the Lesser Lights if
possible.
The Lodge floor will be
setup on Tuesday afternoon, May 4.
Preparation Room and
Our wheeled chair risers
will be used for the Master’s and Warden’s chairs – the # of steps do not have
to be 1, 2 and 3 – the Lodge Officers will work with what they have.
1st Section only. Will mostly use same chairs etc. as Blue Lodge. See Directors Art Williams and Bob Cook. Cast same as last reunion. Rehearsal date(s) not known at this time. Costumes will be used for SP, MWM, and TPM – all others in tux.
Potentate Wys has provided a modified opening and closing meeting ritual and a diagram of the floor setup.
Potentate Wys informed us that Shrine Dramad Unit will be presenting a ‘Short Form’ Ceremonial, using same chairs as Blue Lodge and 32nd degree.
Valley agreed to have doors open at 6:00AM; will use Parking Lot door for most of day.

Will need to check Blue Lodge dues cards for members and credentials for candidates (supposed to be provided by Grand Lodge in advance at first entrance to building. Name tag will be visual confirmation of status.
Grand Lodge should handle ‘walk-in’ Blue Lodge candidates or those who forgot their credentials.
Suggested (not yet discussed): If a man does not have his
Blue Lodge Dues Card, he can be vouched for or take the
Note: we did not see the need to check dues cards for 32nd Degree or Shrine, due to short span of time between events; the ‘honor system’ will be used.
Blue Lodge Candidates will receive name badge from Grand Lodge
Advance notice attendees will receive preprinted name badge from Valley.
Blank tags will be available for “Walk-in” attendees.
All registrants will receive schedule for day.
After registration downstairs, Blue Lodge degree team members will report to Terry Seward in Conference Room (off lobby).
The Valley and Shrine will provide Coffee and Donuts in the Dining Room during the registration period.
The Grand Lodge is paying for Lunch – Valley of Peoria will arrange and receive reimbursement from Grand Lodge; cold cuts or prepared sandwiches suggested, will arrange with regular Valley staff.
Candidates and 1st Section of 3rd Degree team eat first.
Blank Petitions will
be part of a packet issued to candidates on their way to lunch.
· Blue Lodge : Not an issue; they are all supposed to have been voted on by individual Blue Lodges before Festival
· All attendees will be give an opportunity to take blank petitions AT LUNCH
· Blue Lodge Candidates will not be given blank Scottish Rite or Shrine petitions until lunch
o If they already have a petition filled out, we will accept it at any time
o If they have not filled one out, they can do it at lunch
o Blue Lodge Members can fill theirs out at any time
o Scottish Rite Petitions will be collected just before the 32nd degree
o Shrine Petitions will be collected just before the Ceremonial
Grand Lodge will furnish paper aprons for candidates;
Mentors and Degree Team members should bring one if possible. Sutherland, Willman
will provide cloth aprons from

Each Body will be opened in succession by Presiding Officer, who will obligate class in that body.

Per Early Wys, Potentate, will be opened as Shrine Special Meeting (ritual provided) and moved into Short Form Ceremonial
